Manna Foods attaches great importance to the protection of your personal data. In this privacy statement we explain which personal data we process, why we do so, with whom we share these data, how long we retain them and which rights you have.

Manna Foods NV acts as the data controller for the personal data described in this privacy statement. This means that Manna Foods determines why and how these personal data are processed.

3. Which personal data do we process, why and on what basis?

Which personal data we process depends on how you come into contact with Manna Foods. We only process personal data that are necessary for the purposes described below.

3.1 When you contact us

When you contact us via the website, by e-mail, by telephone, via social media or via another communication channel, we may process your name, contact details, language preference, the organization you work for, your position, the content of your inquiry and other information that you provide to us.

We use this data to handle your inquiry, provide you with the requested information and manage our further communication with you.

When your inquiry relates to a possible agreement, the processing is necessary to take steps at your request prior to entering into that agreement. In other cases we rely on our legitimate interest to answer questions correctly and to communicate with consumers and professional contacts.

When a campaign uses a free text field, we ask you not to share sensitive or special personal data about yourself or other persons.

During the selection procedure we may also process information from interviews, tests, assessments and reference checks. If an external assessment agency or other selection partner is engaged, you will be informed about this. References are only contacted when you have been clearly informed in advance and have given your consent for this.

This processing is necessary to take steps at your request prior to the possible conclusion of an employment contract. Manna Foods may retain certain data after the end of a selection procedure for a limited period when this is necessary to document the selection process.

Manna Foods does not take decisions in the context of applications that are solely based on automated processing and that have legal effects for candidates or similarly significantly affect them.

3.10 Visitors to our sites

When you visit a Manna Foods site, we may process your name, the organization you work for, the person you are visiting, the reason for your visit, the time of arrival and departure and, when necessary for access management, your vehicle registration number.

We process this data to organize your visit, manage access to our premises and buildings and protect the safety of our visitors, employees, buildings, business information and production processes.

3.11 CCTV

Manna Foods uses CCTV. The presence of cameras is indicated with the legally required pictograms.

The camera footage is used to secure persons and goods, manage and control access to our premises and buildings and to prevent, detect and investigate incidents, damage, theft and other irregularities. In addition, camera footage may be used for quality control and food safety purposes, for example to investigate the cause of a possible product deviation and to identify and trace the involved production line, production batch or the relevant lot.

This processing is based on our legitimate interest to secure persons, goods, locations and production processes, to safeguard the quality and safety of our products and to investigate incidents, as well as, where applicable, on our legal obligations regarding food safety and traceability.

Camera footage is, in principle, not retained for longer than 6 months, unless it is necessary as evidence of an incident, crime, damage case or other irregularity. In that case, the relevant footage may be retained as long as necessary for the further handling of the file.

3.12 Legal obligations and protection of our interests

We may process personal data when this is necessary to comply with legal or regulatory obligations.

Where necessary, we may also use personal data for the establishment, exercise or defense of legal claims. This processing is based on our legal obligations and/or our legitimate interest to protect our activities and rights.

4. From whom do we receive your personal data?

In most cases we receive your personal data directly from you. We may also receive these data from the organization you work for, from professional partners and service providers or from publicly accessible sources. 5. With whom do we share your personal data?

7. How long do we retain your personal data?

We do not retain personal data longer than necessary for the purposes for which they were collected. When determining the retention period we take into account the nature and sensitivity of the data, the purpose of the processing and the applicable legal limitation and retention periods.

After the applicable retention period has ended, personal data are deleted or anonymized unless further retention is legally required or necessary for the establishment, exercise or defense of a legal claim.

8. How do we secure your personal data?

Manna Foods takes appropriate technical and organizational measures to process and protect personal data securely. For example, access to data is limited and protected, the use of certain systems is logged, backups are made and systems and networks are secured and monitored. 10. Which rights do you have?

When we have reasonable doubts about your identity, we may request additional information. We want to be certain that we are assisting the correct person.

We will in principle handle your request within one month of receipt. Depending on the complexity and number of requests, this period may be extended by up to two months. In that case we will inform you within one month of the extension and the reason for it.
